1. Setting Day Up for Success
Many offices hold daily, weekly, or monthly meetings to ensure everyone is on the same page with their office tasks, goals, and achievements. In order to set your day up for success, it is important to plan ahead by the staff working together and delegating certain responsibilities to ensure the entire office runs smoothly and efficiently. The key to success often involves a good plan for organization, cleanliness, proactive staff communication, and multitasking administrative responsibilities.

As an office team, everyone must do their part. For example, the front office staff typically confirms patients for the day, checks and returns voicemails, and ensures administrative tasks like contracts, reports, and financials are in order. The assistants in the back office ensure all stations are stocked, instruments are sterilized, and appliances are ready for daily appointments. Most offices usually have an ordering assistant in place to ensure all products are readily available. Many offices also have an in-house lab where retainers are made for the day’s patients and other offices may be outsourcing their retainers.
What types of strategies and planning does your office have to ensure it runs smoothly and efficiently?

2. Emergency Visits
Every office has patients calling with “so-called” emergencies, whether it’s broken brackets, poking wires, and sometimes the occasional ball to the face! It’s difficult to fit these appointments into your already booked schedule, not to mention, the after- hours and weekend calls typically received through the emergency phone most offices have in place. The approach taken with patient communication is crucial to their perception of their value to our office.

If patients don’t receive a timely response in returning their calls, it can leave them frustrated and jeopardize their relationship with your office. There must be certain protocols in place (multiple emergency phones, forwarding of calls, or passing the phone off to a staff member who’s available) to ensure patient calls are handled in a reasonable time frame.
It is also imperative the person responsible to be on call is skilled and knowledgeable with good judgement regarding how to handle various emergencies. Some emergencies allow for over-the-phone explanations so the patient can either resolve their emergency or be made comfortable until the office re-opens. Other emergencies may be more in-depth or extreme, and may require the on-call assistant to meet them at the office to assess the emergency and alleviate their discomfort, or them to go to a hospital emergency room.
What type of protocols do your offices have in place to handle patient emergencies?

3. Inventory Checks
Most offices have one or more ordering assistants in place to order inventory for the front desk and back office areas. There are many ways to make tracking inventory efficient.
These ways include tracking and placing orders manually or electronically on a daily, weekly, monthly, or quarterly basis. Some offices prefer using spreadsheets while others may prefer printing sheets to organize and order by hand. Some larger orders may be even handled annually.

Whatever plan you have, as long as it is successful and your doctor is in agreement, that is all that matters.
How does your office manage its inventory?

4. Dealing with Oral Hygiene Issues
It’s extremely important for our patients to have good oral hygiene in order for their treatment to be a success. It’s an ongoing struggle in many offices to ensure patients follow our instructions for care with their teeth to make certain they don’t end up with decalcification stains, gingivitis, or decay during their treatment process.
This begins with making sure patients and parents understand the steps to take care of their teeth under their specific treatment plan. It is important to stress that not following the proper plan can complicate their treatment or result in having to end their treatment early since patient health is most important. Having the necessary kits or items available to help aid in this process is also important.

Most offices have information on their websites or even incentive plans that reward patients for following proper treatment protocols.

OT’s Product Manager – Anne Oliver

When I came to Ortho Technology back in 2006, I had no idea how far this job would take me. Having worked in advertising and print marketing in Memphis, I’d been brought on as a Graphic Designer in charge of making our products look great in all our marketing materials. I had to be familiar enough with all the devices and tools we offered to show off their features, but, as we evolved as a company, so did my role.

In 2016 I became our team’s product manager. Thankfully, the decade spent with Ortho Technology more than prepared me to take the plunge. Three years down the road, I’m teaching our sales representatives and other team members about our latest products – quite the transition – and I couldn’t have done it alone.

As a Product Manager, how do you keep an eye on hundreds of unique products, innovative ideas, and industry trends? Simple. You bring in as many perspectives as possible. Internally, this means holding monthly meetings with representatives from every department at Ortho Technology. This way we get feedback from a diverse range of experiences: sales representatives noting trends they’ve heard through daily customer phone contact and quality and regulatory experts ensuring our current and future products are meeting the highest standards, among many others. But we don’t stop at these internal product meetings. To ensure we’re truly delivering the best possible value to orthodontists, we have to ask them ourselves.

When I first took on this position, Shawn Potter, our Commercial Director of Operations, provided crucial leadership. While his years of industry insight were invaluable, the best instruction I received came down to a single sentence: “Get in touch with local orthodontists.” This was the start of the Ortho Technology Advisory Council (OTAC).

OTAC is made up of more than just local doctors. Orthodontists around the world have partnered with us to act as a sounding board for trends, ideas, and product modifications. This advisory board gives us an invaluable outside perspective on the ways we can bring even more value to every smile.

Of course, we must consider one more angle – the patient. Here I have a unique insight, at least when it comes to one of our most popular products. I love the Lotus Plus DS Bracket System because nothing else on the market is like it, and because, well, I use them myself! I’ve been wearing these self-ligating brackets for about two years now, and I love the results. Seeking outside perspectives is great, but sometimes it helps to find your own reason to smile.

DON’T DIY YOUR MOUTH!

Spreading Awareness of the Dangers of DIY Orthodontics

The phrases “do it yourself” and “orthodontics” should never go together. And yet, some parents attempt to fix their children’s smiles themselves, often with disastrous results. Earlier this year, The American Association of Orthodontists (AAO) shed light on this troubling trend on their blog – highlighting the dangers of this DIY approach and urging readers to consult a professional. We applaud AAO for directly confronting this serious issue.

Framed as a case study, the post presents the story of a young Greek boy with a gap between his front teeth. Wanting to improve their son’s smile, but unwilling to see an orthodontist, his parents came up with a simple solution: a little rubber band. Stretched between the two teeth, the band closed the gap in two days – before disappearing into the boy’s gums.

Severe gum disease and tooth dislocation followed. Even after multiple dental procedures and surgery, the boy’s front teeth couldn’t be saved. Thankfully the orthodontic professionals at the University of Athens stepped in, and the patient was eventually able to have a beautiful smile. According to AAO, the orthodontists moved his remaining upper teeth forward and reshaped the canines and lateral incisors. The boy’s tooth gap is finally gone for good – although after far more extensive treatment than it would have taken if he had seen an orthodontist in the first place.

This is why AAO’s covering this subject matters. His parents wanted to help him, but they didn’t understand just how damaging manipulating teeth can be when you don’t know what you’re doing. Blog posts like this help spread awareness and can prevent near-tragedies like this one in the future.

How It Works

Tongue Tamers® PLUS are bonded to the lingual side of the teeth, typically canine to canine, to act as a deterrent against the tongue. Numbers to Smile About!

At Ortho Technology, we strive for our clients’ complete satisfaction. The quality of our customer service, the ordering tools we make available, the speed of our delivery, and the quality of our products are all elements that stand to save your clinic time and money. Ensuring we are doing our very best to make the entire process as turnkey as possible means never resting on our laurels. That’s why we conduct a customer satisfaction survey every year to hear directly from the clinics we serve.

The 2018 numbers have just come in, and we couldn’t be more pleased with the results. With over 150 clinics participating in the survey, we are proud to report we received top marks across the board! From customer service to catalog design, the vast majority of responders gave Ortho Technology a 5 out of 5 “excellent” rating. Looking at these results, it’s clear last year’s breakout aspect of our company was the quality of our products.

Survey participants were asked to rate our bracket systems, buccal tubes, and wire products on a scale of 1 to 5, with 1 being “poor” and 5 being “excellent.” Not only did all of these products receive an average score above 4.5 but they also markedly improved on 2017’s stellar ratings. For example, our buccal tubes received a score of 4.44 two years ago. By refining our products, we bumped up this score to a whopping 4.65. That difference is what innovation looks like.

Best of all, we were able to hear directly from the doctors we work with every day. We received many glowing accolades, many of which named members of our team directly. Reading through these fantastic, heartfelt testimonials brought us so much joy. Thank you to everyone who took the time to write such kind words.

As always, there’s room to do better. Until we’re scoring 5’s across the board, we’ll always be driven to deliver a better experience. A small number of responders reported isolated incidents of delayed shipments and missing payments. Thank you for bringing these issues to our attention. You have our word that we are ironing out these systems to keep these errors from happening in the future. We deeply appreciate all of our survey responders and are looking forward to wowing you all over again this year!
